About the Position:
Under direct supervision of the Assistant to the City Administrator, the Administrative Staff Assistant performs assigned office duties for the City Administrative Services Department; and does related work as required. This position requires the ability to work effectively in a busy environment with multiple distractions and demonstrate flexibility, versatility, and attention to detail in the performance of the basic functions of administrative support. Must possess a considerable degree of tact, mature, professional judgment and high degree of organization in performing a variety of office support tasks.

Essential Duties and Responsibilities:

  • Types a variety of materials for City Administration staff, including minutes, correspondence, reports, manuals, guidelines, mailings, memoranda of understanding, bid packages, permits,
    proclamations, resolutions, and ordinances;
  • Answers the telephone, interviews callers, and follows specific guidelines in providing information and referring to proper party;
  • Open, sort and distribute incoming correspondence;
  • Maintain office supply inventories and coordinate maintenance of office equipment, City Hall vehicle and Administrative Services vacation calendar;
  • General clerical duties including filing, photocopying, fax and mailing;
  • Maintain electronic and hard copy filing system;
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails;
  • Schedule and coordinate meetings, appointments and travel arrangements;
  • Assist in the preparation and distributions of agendas for meetings and prepare schedules;
  • Provide back-up customer service for Finance Department and Building Division front counter;
  • Perform other duties as required.

Desired Qualifications:

  • Two years increasingly responsible clerical and secretarial experience, involving frequent contact with the public
  • Equivalent to completion of the twelfth grade License or Certificate:

License or Certificate:
Valid California driver’s license

Additional Experience or Ability To:

  • Modern office practices and procedures including preparing business correspondence, providing customer service, and standard office equipment operation;
    Statistical and record keeping methods;
  • Correct English usage, spelling and punctuation;
  • Computer operations and common software packages including word processing, spreadsheet and database;
  • Data entry and 10-key;
  • Employ good judgment and make sound decisions in accordance with established procedures and policies;
  • Establish and maintain cooperative relationships with those contacted during work;
  • Understand and follow oral and written management direction;
  • Professional communication – written and verbal;
  • Perform responsible secretarial and clerical work;
  • Prioritize work and meet deadlines;
  • Mentally analyze assignments received, differentiate between two or three sets of information, identify and interpret general department information, know, observe, prioritize, problem solve, remember, understand, explain and count;
  • Analyze situations accurately and develop effective courses of action;
  • Take notes at meetings and conferences and prepare clear and concise reports;
  • Prepare reports and transcribe correspondence;
  • Type accurately at a speed of 65 words per minute, for extended periods of time, as required;
  • Access Internet and research items as requested

Salary and Benefits:
The current annual salary range for the position of Administrative Staff Assistant is $30,832.62 to 43,385.42 plus an excellent benefits package. The City provides the following benefits:

Medical, Dental, & Vision Insurance: The City offers excellent Medical, Dental and Vision Insurance. Employee currently pays $30 per month and receives medical, dental and vision coverage for employee, spouse, and eligible dependents. Medical insurance currently 90/10 plan, with annual deductible of $150 (individual) and $450 (family), annual maximum out of pocket $3,000 (individual), $6,000(family).

Retirement: The City participates in the California Public Employees’ Retirement System (CalPERS). For legacy members, the benefit level is 3% @60, employee share is 8%, paid by employees. For new members, the benefit level is 2% @62 , employee share is 6.25%, paid by the employee.

Holidays: 14 paid holidays per year

Deferred Compensation: voluntary plans available IRS Section 125 Flexible Benefit Plan available
