POSITION TITLE:
Administrative Assistant
POSITION SUMMARY
The Administrative Assistant performs a full range of duties to support the functions of the Credit Union. Administrative duties consist of vendor management, regulatory compliance, policy maintenance, projects, maintaining administrative spreadsheets and other tasks that support the Executive Management team. This position is the primary position for payroll and accounts payable duties as well as providing human resources support.
The Administrative Assistant shall maintain the knowledge and skills to provide services to members and potential members of the Credit Union. Member service includes answering questions, processing transactions and promoting Credit Union products and services both in person and over the phone.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

- Review Policy Pro for suggested updates to policies, procedures, and practices to ensure compliance with laws and regulations.
- Recommend policy modifications to Executive Management and implement them following approval.
- Keep strategic plan up to date.
- Maintain Vendor Management program. (due diligence and management)
- Process Accounts Payable and maintain Vendor information utilizing the FLEX Accounts Payable Imaging Function.
- Prepare for and set up all Credit Union meetings. Ensure all documents and supplies are available and ready to be reviewed at meetings.
- Prepare month and quarter end documents including Wisdom reports and 5300 Call Report.
- Prepare and maintain due diligence and payment binders for new MBL purchases.
- Maintain backup archives for all MBL annual reviews.
- Sort and distribute daily mail; as soon as delivered.
- Balance Corporate America Account and reconcile VISA statements, monthly.
- Manage and maintain account bad addresses.
- Assist the Executive Management Team with additional duties as assigned.
HR and Payroll Duties:
- Prepare paperwork and conduct new employee orientation. Set up new employees in systems.
- Process semi-monthly payroll following the Paychex Flex Payroll Instructions. Ensure payroll
functions are completed accurately, timely and in accordance with established policies, procedures and regulations. - Post net pay to employee accounts and prepare/post all payroll related journal entries. Monitor payroll related general ledger accounts for accuracy.
- Maintain payroll reports and historical data as required by law.
- Process wage attachments and garnishments. Accurately calculate amounts withheld and set up deductions in the payroll system.
- Process 401(k) and 457(b) deductions.
- Set up and process changes for all insurance benefits and deductions. Monitor ERISA, COBRA, HIPAA and FMLA compliance issues.
- Maintain spreadsheets reconciling leave balances and 401K contributions.
- Assume responsibility for completing all payroll related reports, paperwork and documents accurately and timely, including, but not limited to verification of employment forms, unemployment reports, W-2’s and 401K reports.
- Responsible for researching, tracking and resolving accounting or documentation problems and discrepancies.
- Responsible for establishing and maintaining effective communication and coordination with personnel and management.
- Assists Human Resources with additional duties as assigned.
Other Credit Union Duties:
- Answer phone calls and assist members with their needs.
- Provide back up support to the teller line as needed.
- Member of ATM rotation team to assist with operations. Responsible for balancing ATM’s, removing deposits, releasing cash, maintaining and troubleshooting ATM Transactions and performing monthly cash counts/audits.
- Back up and assist Transmissions Coordinator with the vault by preparing cash to be sent with cash courier, verifying cash received, balancing 99 vault, replenishing TCRs and making adjustments to GL and TCR.
- Back up Quality Control Technician with Loan Reviews.
- Back up Quality Control Technician with managing Employee Training Program.
- Make necessary changes to the Credit Union website and create marketing material as needed in the absence of the Quality Control Technician.

QUALIFICATIONS
Education/Experience:
Bachelor’s Degree in Business or Human Resources(preferred)
OR GED/High School Diploma & 1-3 years of related experience
Required Knowledge:
Knowledge of accounting standards and rules related to payroll and HR
Knowledge of general financial accounting practices and procedures
Understanding of Payroll applications
Proficient in the use of Microsoft Excel, Word and Outlook
Knowledge and understanding of confidentiality

OTHER QUALIFICATIONS
- Willingness to travel and attend seminars. Some educational programs may require you to be out of the area for several days.
- Availability to attend staff meetings and training when required by management. You must be willing to work other than your scheduled time in case of need or emergency.
