Westwood Area Chamber of Commerce: Main Secretary
Overview
General supervision will be provided by appointed chamber member.
I. Essential Duties and Responsibilities
a. Act as a receptionist, screen calls and visitors and refer inquiries as appropriate; respond to requests for information
b. Compose routine correspondence not requiring President or Board attention
c. Initiate and maintain a variety or files and records of Chamber business
d. Assist in the coordination of events, i.e., Paul Bunyan Festival, Chowder Cookoff, Christmas in the Mountains, Pig Out and Membership Mixer, etc.
e. Perform related duties as assigned
II. Hall Rental
a. Schedule events and keep a calendar for use of Visitor Center and Community Center b. Issue Contracts and collect deposit c. Issue and collect keys d. Check after use for return of deposit or hire someone to clean with deposit money, if day off, contact a board member to check hall or add your time to time card
III. Visitor Center
a. Open Visitor Center on Friday and Saturday from 9 to 2. The Visitors’ Center will be closed on holidays and during power outages.
b. Check e-mail (reply or forward to responsible board member)
c. Return phone calls or direct to responsible board member
d. Update WACC website
e. Routine cleaning of Visitor’s Center
f. Routine filing of correspondence and financial records after treasurer paid and documented them.
g. Mail out membership forms (January)
IV. Paul Bunyan Mountain & Blues Festival and other Chamber Events
a. Help complete check list
b. Mail needed event forms or invites out prior to events (1-4 months depending on event)
c. Mail sponsorship letters
d. Inventory Sponsorship banners
V. Board Meetings
a. Secretary will work with the Chamber Board President to post agendas of the meetings b. File approved minutes in binder
VI. Other Duties as Assigned
a. During major Chamber events, the president/vice president of the board may request the secretary to work extra hours.
b. Pay period will end the last day of the month. Payment for wages for the past month shall be paid by the 10th of the following month
c. Request time off 48 hours in advance unless sick
VII. Special Events
a. Help prepare Christmas in the Mountains goodie bags
b. Help prepare Chowder tasting kits
c. Work Saturday at the Paul Bunyan Mountain & Blues Festival
Minimum Education and Experience
Education Required: None
Minimum Hourly Wage: 16
Maximum Hourly Wage: 20
