Janesville Fire Protection District: Special Fire District Secretary
DEFINITION AND GENERAL STATEMENT of DUTIES
This is a Special Fire District part-time position. Hours of work fluctuate monthly and are determined by the tasks which require completion. The Secretary receives direction from the Board in performing a wide variety of bookkeeping, administrative and clerical duties. The Secretary reports directly to the Board of Directors. When the Board of Directors is not in session, the Secretary reports to the Director assigned to Personnel or to the Chairman of the Board. This is an “At Will” position and serves at the pleasure of the Board of Directors.
DISTINGUISHING FEATURES of this CLASS
The Secretary is responsible for managing all bookkeeping, clerical, and office duties. Work is performed under general supervision. The incumbent must exercise an above average level of independent judgement and be able to solve problems that arise, independently.
SALARY AND BENEFITS
This position pays a monthly salary based on applicant’s experience. Increases may be offered, based on an annual performance review. This position does not offer any benefits.

EXAMPLES OF DUTIES AND RESPONSIBILITIES
1. Performs bookkeeping and office management duties.
The ability to type a diversity of materials including letters, reports, forms, statistical material, using word processing software.
Prepares general memos and Board Resolutions
Maintains an inventory of necessary office supplies
Handles incoming and outgoing mail and inter office correspondence
Operates personal computer, copy machine and fax machine
2. Keeps records, organizes, and maintains files; compiles information and statistics.
Processes and maintains records of purchases and prepares bills for payment
Maintains budget and prepares appropriation transfers
Prepare Agendas for monthly Board meetings
Keeps Minutes and makes them available for the public
Prepares payroll, quarterly IRS, and EDD payments
Keeps department supervisory/personnel files
Maintains confidentiality of records
Prepares personnel action forms when necessary
Schedules appointments with independent auditor and helps prepare annual audit.
Maintains attendance, vacation and pay records of the department employees
3. Performs additions and maintenance of DOM Department Operation Memorandums.
4. Establishes effective working relationships with the public and staff
Contacts staff and the public to obtain information or to discuss matters of mutual interest
5. Perform other duties as required
MINIMUM QUALIFICATION and REQUIREMENTS
To perform this job successfully, an individual must have knowledge of general office procedures, record keeping and filing procedures; ability to type efficiently and accurately; skill in operating a calculator and/or 10-key adding machine. Working knowledge of a personal computer, spreadsheet, database, word processing application programs and government accounting practices. Ability to communicate effectively both orally and in writing with staff and the public;Â ability to maintain effective interpersonal relationships with public and others; ability to work accurately with numbers and codes; ability to organize files and records; skill in arithmetic computation and reasoning; ability to compose and edit documents including knowledge of spelling, office vocabulary and grammar; ability to perform general work assignments and research government code requirements with minimum supervision.
AGE:
Candidate must be at least eighteen years of age.
EDUCATION and/or EXPERIENCE
Acceptable training and experience include a combination of experience and /or formal training equivalent to an AA from an accredited college with two years’ full-time work experience performing responsible duties relevant to this position.
